CHALLENGE

Purdue University is one of the largest universities in the United States and has satellite institutions that span the globe. With tens of thousands of students, each with financing transactions paid by check, they had the need to mail daily and monthly “dunning letters” to notify these individuals for tuition, book dues, housing fees, etc. Hundreds of thousands of dollars each month in revenue goes through this automated process. 

Historically, this had been handled by in-house team members, but printing, folding, inserting, mail processing and delivering the letters to the post office was a considerable drain on the team’s time and resources. Events such as vacations and sick days impacted the university’s ability to send these letters out on time, and postage costs increased by using meter mail instead of Purdue’s non-profit indicia.

SOLUTION

When Purdue reached out to us for a solution, we quickly determined that our proprietary Inform247—HITRUST Certified platform would serve as the ideal foundation for their dunning needs. Core functions of this solution are its ability to integrate with a variety of platforms and define a repeatable procedure that manages file submission, project specification and artwork, all through a HITRUST-certified secure file system.  

Our team worked to integrate the technology with Purdue’s systems, resulting in a cohesive, automated process to eliminate the tedious project management elements of the program.

Purdue transferred data and print-ready art files to our secure FTP. The Inform247—HITRUST Certified platform securely imports the files and then verifies, distributes and reports progress through its dashboard. These records are then printed, inserted and delivered to the post office by the end of the same business day. 

RESULTS

This solution was developed and launched in less than 60 days and processes over 30 jobs and thousands of letters each month. This process has saved more than 30 hours of work each month for Purdue’s staff, and using a nonprofit indicia instead of using meter mail has decreased postage costs by close to 50%.

The automation has enhanced efficiency, and Purdue no longer has concerns about these letters not being mailed in a timely manner. Time-off no longer hinders the ability to do so, as the university now has a more stabilized system for invoicing and receipt of payments. Additionally, because of this automation, the university can predict anticipated revenue with more certainty.
